How to Manage the Privileges for Mandatory Certificates

In this tutorial, I will show you how to configure Mandatory Certificates for each role.


Users who are assigned a role that has mandatory certificates selected will be required to have those specific licenses, ratings, and certificates. 


When mandatory certificates are selected, they will appear as missing or expired until they are updated.  


Users can also receive alerts when they enable the option "Receive an e-mail when your certificates are expired or about to expire". Users can go to their Settings under the Notifications section to activate or deactivate this option. 


Additionally, as the admin of the company's primary account, you can prevent booking when a mandatory certificate is missing or expired. Go to Settings on the Schedule tab in the Users Constraints section and enable "Prevent booking when a certificate expired".


Likewise, from the company's primary account, you can prevent dispatch when a mandatory certificate is missing or expired. Go to Settings on the Dispatch tab in the Users Constraints section and enable "Prevent dispatch when a certificate expired".


MANAGE MANDATORY CERTIFICATES FOR EACH ROLE:


For each role, you can set up corresponding mandatory certificates. Let me show you how:


1. First, log in to your account.


2. Go to the Users Module.


3. Click on the Roles button on the top right-hand corner of the page.


4. Select a role from the drop-down list.


5. Go to the Certificates tab.


6. In this section you can choose from the list all of the certificates that are mandatory for users with the selected role. 


  • From the list of Licenses, you can choose which ones to set as mandatory for users with the selected role.

  • From the list of Ratings, you can choose which ones to set as mandatory for users with the selected role. This includes Instructor ratings.

  • From the list of Certificates, you can choose which ones to set as mandatory for users with the selected role. This includes language certificates, medical certificates, passport, visa, etc.


MANAGE CERTIFICATES:


If you want to add any custom licenses, ratings, or certificates please follow these steps:


1. Go to the Users Module.


2. Select any user.


3. Click on the certificates tab.


4. Click on the button "Manage Certificates".


5. Click "Add a certificate"


6. Select the category, select the type, enter a name. 


9. And don't forget to save. 


Additionally, you can edit or delete your custom certificates. The system already includes some licenses, ratings, and certificates. Please check them first to avoid duplication. 


NOTE: This is how you can create your customized certificates, they will be available to assign to other users, regardless of the user from which it was created.


MANDATORY CERTIFICATES FOR DIFFERENT TYPES OF INSTRUCTORS:


For example, if you have several types of instructors that require different licenses you can create different roles, such as “Instructor PPL”, “Instructor ATPL”, "Theoretical Instructor", then require specific licenses, ratings, and certificates for each role. Assign the corresponding role to the user. 


MANDATORY CERTIFICATES FOR DIFFERENT TYPES OF STUDENTS:


It is the same process for students. If you have several types of courses that require different certificates you can create different roles, such as "Student PPL", "Student ATPL", "Student ATPL Theory Modular", and select specific licenses, ratings, and certificates for each role. Assign the corresponding role to the user.
