Managing Crew Information
In this tutorial, I will show you how to use the Crew Information System (CIS).
What is the Crew Information System?
The Crew Information System is a module that allows you to send essential information and documents directly to flight crew.
Notifications are delivered both via email and within Private-Radar, ensuring that important information, such as Standard Operating Procedures, are never missed.
These communications can be set as mandatory reading and/or require a signature, with built-in tracking to monitor acknowledgment.
If the flight crew have not read or signed the information, flight dispatch can be prevented, ensuring full compliance before any flight takes place.
Let’s take a look.
First, go to the Crew Information System Module.
Here, you will see the list of your Crew Information.
Depending on your rights, you can read, sign, add, edit, or delete these entries.
To read Crew Information, click on the title, on the content, or the three dots and select Read Crew Information.
How to add Crew Information (1:10)
To add new Crew Information, click on the plus sign in the bottom right-hand corner of the page.
Enter the title of your crew information.
Then, enter the content. You can use HTML formatting to customise the layout, style, or include links and media.
You also see the Mandatory Reading and Requires Signature options.
Mandatory Reading
When you select Mandatory Reading, all pilots and instructors selected as Recipients will receive an email notification, and will also see the information upon their next login.
This ensures important information is effectively communicated.
Signature Requirement (1:51)
When you select Requires Signature, the Crew Information email will include a message saying “You must sign this crew information”.
It is possible to sign the crew information immediately by clicking on the button in the email, or by going to the CIS module and selecting “Sign Crew Information”.
When clicked, a window will open, prompting the user to enter their password to electronically sign the crew information.
Preventing Dispatch (2:19)
The Prevent Dispatch option can only be enabled if Mandatory Reading and/or Requires Signature has been selected.
When Prevent Dispatch is activated, flight dispatch will be prevented if the Pilot in Command (PIC) has not read and/or not signed the crew information.
This reinforces compliance and operational integrity.
Expiration of Crew Information (2:46)
You can also set an Expiration Date for Crew Information. After this date passes, the notification will be removed from the active list and will no longer be visible. Additionally, any previous constraints will no longer be applicable.
Adding Recipients (3:04)
You can add recipients in different ways.
First, you can select all the recipients at one or several bases. To do this check the corresponding box, to open a dropdown menu of your bases and click on the base names you want to add.
The same steps apply, if you want to send to users in groups, and if you have the Courses module, all students in a course or courses.
You can select multiple collections of users at the same time. When you do this, the information will be sent to users who match at least one of the selected conditions.
Example: If you select Base A and Group X, the Crew Information will be sent to everyone in Base A plus everyone in Group X. A user does not need to belong to both Base A and Group X, to receive the Crew Information.
If no checkboxes are selected, the Crew Information will be sent to all Pilots and Instructors.
Adding Documents
Finally, In Documents, you can upload a new file by clicking on the Upload File button at the bottom. You can also directly drag and drop documents.
Don't forget to click save in the top right-hand corner!
How to delete Crew Information (4:15)
To delete crew information, click on the three dots and select delete.
A pop-up window will open (Attention: You are about to delete this crew information. Are you sure? Click Yes to Accept or No to Cancel.)
How to view, signed/read Crew Information (4:33)
Click on the three dots and select: “View read and signed”.
This opens the “Recipients” window, which shows who has received the Crew Information and whether they have read/signed it.
Crew Information is marked as read if the user has opened the email that they received, or if they read it in Private-Radar.
The Signed section will appear only if the Crew Information requires a signature.
Remember, crew information can be signed in several ways:
by clicking on the “Sign” button in the email received, or
by going to the CIS module and selecting “Sign”.
Please note that super admins cannot sign a Crew Information, however, they can see them all.
