How to Manage the Roles and Privileges for the Invoices Module

In this tutorial, I will show you how to configure Roles and Privileges for the Invoices Module.


The Invoices Module allows you to add and keep track of all the proformas, invoices, payments, products, and different legal entities.


Ensure that only users with a specific role, such as Accounting, have access to this module.


MANAGE ROLES AND PRIVILEGES: (0:26)


Let me show you how to set this up:


1. First, log in to your account.


2. Go to the Users Module.


3. Click on the Roles button on the top right-hand corner of the page.


4. Select a role from the drop-down list.


5. Go to the Invoices tab


6. Here you can select the criteria. 


  • If you want to allow users with the selected role to access the Invoices Module, check off the box “View the Invoices Module”. 

  • In case your company has more than one legal entity, you can allow the role to view all the legal entities, or choose from the drop-down list. Now choose how much access you want to give users with the selected role. Each category corresponds to a tab in the Invoices Module.

  • You can give access to the Proforma tab.  In the Proforma tab, you can view the date of the invoice and client, as well as the total, the amount paid, the balance, and the due date. In addition to viewing, you can select from the options, to add, edit, and/or delete proformas.

  • You can allow users with the selected role to view the Invoices tab.  In this tab, you can view the date, the client, and the description of the invoice including the total, the amount paid, and balance, as well as the due date. In addition to viewing, you can select from the options to add, edit, and/or delete invoices.

  • Allow users with the selected role to view the Payments tab. Here you can view the date of the invoice, the client name, the amount paid, and the description text. In addition to viewing, you can select from the options to add, edit, and/or delete payments. 

  • Next, you can give users with the selected role the privilege to view the Products tab.  Here you can view the products, with the creation date, the name, type, and unit price of each one. In addition to viewing, you can select from the options to add, edit, and/or delete products.

  • Finally, allow users with the selected role to view the Legal Entities tab. Here you can view the Legal Entities of the company/school account. You can have multiple entities for different invoicing purposes. Here you can view information for each entity, such as the name, VAT number, address, city, and country. In addition to viewing, you can select from the options to add, edit, and/or delete legal entities. 


MANAGE PRIVILEGES FOR ACCOUNTANT ROLE: (2:49)


Because this module deals with delicate accounting information, it should only be available to users with specific roles, such as Accountant. For example, I will grant full access to users with the role Accountant, but not to others. According to your company's structure, you can choose which roles to give access to the Invoices Module.
