Flight and Duty Times

In this tutorial, I will show you how to view the Flight and Duty Times summary of a user.


VIEW: (0:08)


First, log in to your account as an administrator.


Go to the Me module or the Users Module and select a user.


Click on the Flight and Duty Times tab.


Here you will find the total summary of flight and duty times. You can see the times per 7 days, 28 days, and 12 months. The first row shows the required hours and the second shows the achieved hours.


This information will be automatically updated based on the flights and the information in the system.


Note: Fight and Duty time limits can apply constraints when booking, depending on the Settings.


DEFINE SETTINGS: (0:51)


As the primary admin, you can restrain the users’ maximum flight times, maximum duty times, daily duty times, night, and rest times. Just go to Settings and click on the Duty/flight time limits.


You can also prevent bookings to the flight and duty times when you go to Settings, in the Schedule tab.

Now let me explain to you how the times are calculated and how the information can be interpreted correctly.


CALCULATE FLIGHT TIMES: (1:31)


The flight times can be calculated by summing all of the flown hours per day.


IMPORTANT: The calculation of Flight Times does not count on Simulator flights.


CALCULATE DUTY TIMES: (1:45)


The daily duty time is calculated from the first to the last activity of the day, it can be a flight, a class, or any other activity registered in the user’s schedule. For example, in this case, the day starts with a flight at 08:00 in the morning and ends with a ground lesson at 20:00, so the total duty time for that day is 12 hours.


If you calculated the maximum daily duty time as 11 hours, then the daily duty time of that day would be one hour above the limit.


The system also takes into account the partial rest, which minimum can be defined in the Settings. 

When there is a minimum partial rest between two activities, half of the partial rest is added to the maximum daily duty time allowed.


For example, in the Settings, we have registered a minimum partial rest as 2 hours. In our schedule, we have an empty space from 15:30 to 18:00, which is two hours and 30 minutes that would count as partial rest; so half of it, 1 hour and 15 minutes would be added to the maximum duty time of the day. The duty time registered for the user would still be 12:00 hours, but now the maximum duty time would be 11:00 hours plus 1 hour and 15 minutes, which gives you a total of 12 hours and 15 minutes, so at the end, the user would be considered to be below the maximum limit.


GENERATE A REPORT: (3:18)


You can generate a full report in the Reports Module by selecting the Flight & Duty Time report option. You may choose to download it as an Excel or PDF report, you may select the time frame, user, and apply the filters.


The Excel document will show a summary tab, a tab with the duty time hours and maximum hours, with color-coded cells for the exceeded time, and a flight times tab.


The PDF document will show the flight hours per day and accumulated flight hours per week.
