How to Add-Edit-Delete-Print-Email Invoices

In this tutorial, I will show you how to add, edit and delete an invoice in the Invoices Module.  Invoices are an easy way to keep your accounts accurate and they can be generated automatically after each flight.


ADD INVOICE: (0:16)


1. Go to the Invoices Module.


2. Select the Invoices tab.


3. Here you can view all the invoices created for each client with the date, invoice number, client, description, total amount, total paid, and the balance due.


4. To add an invoice, click on the ‘Add’ button in the top right-hand corner of the page.


5. Here you can choose the legal entity that should be registered, in case you have more than one.


6. You will automatically generate a new invoice number and the current date will appear but can be changed by clicking on it. You can also set a due date and write the invoice terms.


7. Pick the proforma number that should be linked to the invoice, in case you created one previously.


8. You can choose the client from the user's list and get all his/her personal information automatically.


9. Check the box if you want to send the user the invoice by email, otherwise, you can send it anytime after the invoice has been created.


10. In Details, you can fill in the code, description, unit price excluding VAT, VAT percentage, unit price including VAT, Quantity, and the total price including VAT.


11. Lastly, you can click on ‘Add a line’ to manually add a product, price, VAT percentage, and quantity; or click on ‘Add a product’ to select one or more products from your pre-created list. The total price including VAT will calculate automatically.


Don’t forget to save.


ADD PAYMENT: (1:47)


1. Click on the 3 dots next to the invoice you want to add a payment. The invoice number will automatically appear.


2. Detail the date, amount, and description of the payment.

And check the box if you want to send the invoice by email to the user.


Don’t forget to save.


EDIT: (2:01)


1. Click on the three dots next to the invoice you want to edit.


2. Select ‘Edit’.


3. Here you can edit all the information you need.


Don’t forget to save.


DELETE: (2:12)


1. Click on the 3 dots next to the invoice you want to delete.


2. Click on ‘Delete’.


3. You will be prompted with a warning: “Attention! You are going to delete this invoice. Are you sure?”.


4. Click ‘Yes’ to delete or ‘No’ to cancel.


PRINT: (2:29)


You can also save a PDF and print each of the invoices by clicking on ‘Print’.


EMAIL: (2:35)


1. Lastly, you can email the invoices to the client by clicking on ‘Email’.


2. You will be prompted with a message: “Attention! You are going to send an email to XX. Do you want to proceed?”.


3. Click 'Yes' to accept or 'No' to cancel.
