How to Add/Edit/Delete Competency-Based Training Courses

In this tutorial, I will show you how to add, edit, and delete a Competency-Based Training course in the Courses Module.


Competency-Based Training (also known as CBT) allows students to be evaluated by performance orientation, assessing the behavioral indicators required for a safe flight. CBT is based on the ICAO guidelines for Evidence-Based Training.


ADD: (0:26)


Let me show you how to create a CBT course:


1. First, log in to your account.


2. Go to the Courses Module.


3. Click on the “Create Course” button, the plus sign on the top right-hand corner of the page.


4. Write the reference code and name of the course, as well as a description, and check the “Competency-based Training” option.


5. Click “Save”.


The new course will have five tabs, Flights, Ground, Students, Phases, and Competencies. 


Flights (0:56)


Under the Flights tab, you can add all the information about the flight lesson.


  • The phase and reference. I am going to put Phase “1 PPL pre solo” and Reference “INT1.1”

  • Now add the VFR or IFR time, as well as the pre-briefing and post-briefing time. If you leave them blank, the application default settings briefing times will be applied, otherwise, the lesson briefing times will be applied. I will put 1 hour for VFR time and a pre and post briefing time of 30 minutes.

  • Now select the flight type: Solo, Instruction, Exam, or MCC. 

  • Select Dual, PIC, SPIC, or PICUS.

  • Select Single engine, multi-engine, simulator, aerobatics, or glider.

  • Now select if the flight lesson is local or cross-country, day or night.


NOTE: All this information will automatically configure your flight booking when this lesson is selected. This will help you save time and allow for error-free scheduling.


  • Next, add the name of the lesson and describe the objectives. My lesson will be called “Effect of Controls” and I will copy my objectives.

  • You can now add a list of exercises for the lesson. Click on the “Add item” button, a window will appear, where you can add the name of the exercise, pick a type, add a Standard Grade and choose the Applicable Phases and Competencies. For example, I am going to create an exercise called “Familiarisation with aircraft controls” and choose “Exercise” as a type. I will choose 3 as the Standard Grade, so any deviation from this grade will mean a positive or negative outcome of the specific competency evaluation. Now, I will choose “Ground” as the Applicable Phase and select these 4 competencies (MANU, PROC, COM, PBM) which will be evaluated in this exercise.

  • You can add a title for the exercises by picking the “Title” or “Subtitle” type (write “Exercises”), and you can also change the order of the exercises by clicking on the three lines on the left-hand side of the lesson and drag them to the new position.

  • Next, you can choose to add documents related to the lesson and add a required lesson to prevent you from scheduling the current lesson if the previously required is not done yet.

  • Finally, you can create a milestone. This means the student has to complete the current lesson before X days since the first lesson was initiated.


Ground (3:37)


Next, you can create all the ground lessons related to this course.


  • Click on the plus icon to the right.

  • Add a module, reference, name and time for the lesson, as well as a description. 

  • Mark the “Exam” box if this lesson needs to be evaluated. By doing this, the lesson will be displayed in red on the schedule when being booked. Also, you will be able to add a grade when you take attendance on the attendance sheet.

Students (4:10)


Under the Students tab, you will be able to add all the students that will attend the CBTA course.


  • Just click on the plus icon on the right.

  • Choose a student from the drop down list and click on the “Add” button. 

  • Repeat these steps until you finish adding all the students.

The last two tabs, “Phases” and “Competencies”, are specially designed for CBT courses.


Phases (4:34)


In the Phases tab, you will find seven default phases with their code and description:


  • Pre-flight and taxi

  • Take-off

  • Climb

  • Cruise

  • Descent

  • Approach

  • Landing


You can modify them as you need, or even add different ones.


Competencies (4:59)


In the Competencies tab, you will find 8 default competencies to evaluate the students, according to ICAO guidance. 


  • Aircraft Flight Path Management, automation

  • Aircraft Flight Path Management, manual control

  • Application of procedures

  • Communication

  • Leadership and Teamwork

  • Problem Solving and Decision Making

  • Situation Awareness and Management of Information

  • Workload Management


Each competency will include a code, name, description, and behavioral indicators. You can modify them as you please, or add new ones.


IMPORTANT: There are default phases and competencies that will be applied to each new CBT course. If you want to customize the phases and competencies, you can configure them before creating the flight lessons and exercises. Remember, the exercises are directly related to the phases and competencies in each course.


EDIT: (5:55)


To edit a CBT course or change a regular course into a CBT one, follow the next steps:


1.  Go to the Courses Module.


2. Choose the course you want to edit.


3. And click on the Edit button, the pencil icon on the top right-hand corner of the page.


4. Here you can change the details of the course and check or uncheck the “Competency-Based Training” option.


You can also choose to edit the flight and ground lessons of the course, as well as the students taking the course and the phases and competencies.


Flights (6:22)


To edit the flight lessons:


  • Go to the Flights tab.

  • Select a flight lesson and click on the “Edit” button, the small pencil icon next to the lesson.

  • Here you will be able to edit all the elements of the lesson, including the exercises.

  • To do so, click on each exercise pencil icon.

  • Here you will be able to change the description, type, standard grade, and even choose more applicable phases and competencies, or remove the ones that were chosen before.

  • When you finish editing, click “Ok” and “Save” the lesson too.


Ground (6:50)


To edit ground lessons:


  • Go to the Ground tab.

  • Select a ground lesson and click on the ”edit” button, the small pencil icon next to the lesson.

  • Here you will be able to change all the text elements and adapt the lesson to an exam.

  • Don’t forget to save.


Students (7:04)


To edit the students in a course.


  • Go to the Students tab.

  • Click on the “Add” button, the plus icon on the right.

  • Here you can choose to add more students or delete the already existing ones. To add more students, select them one by one from the drop down menu and click on the “Add” button. To delete them, just click on the photo of the student and click on the “X” that appeared on the top of the selected photo.

  • To finish, just close the window, the changes will be automatically saved.


Phases (7:39)


To edit the phases of the CBT course.


  • Go to the Phases tab.

  • Choose the phase you want to edit and click on the 3 dots to the right.

  • Click on “Edit”.

  • Here you will be able to edit the code, name and description of the phase.

  • Don’t forget to save.


Competencies (7:54)


To edit the competencies of the CBT course.


  • Go to the Competencies tab.

  • Select the competency you want to edit and click on the 3 dots to the right.

  • Click on “Edit”.

  • Here you will be able to edit the code, name, and description.

  • To edit the behavioral indicators, you can either edit the name of the existing ones by clicking on the edit button, remove them by clicking on the delete button, or add more by clicking on the “Add behavioral indicators” button.

  • Don’t forget to save.


DELETE: (8:25)


To delete a course:


1. Go to the Courses Module.


2. Choose the course you want to delete.


3. And click on the Delete button, the trash can icon on the top right-hand corner of the page. A message will appear: “Attention! Are you sure you want to delete this course? This cannot be undone.”


4. Click “Yes” to accept or “No” to cancel.


You can also choose to delete the flight and ground lessons of the course, as well as the students taking the course and the phases and competencies.


Flights (8:53)


To delete a flight lesson:


  • Go to the Flights tab.

  • Select a flight lesson and click on the “Delete” button, the trash can icon next to the lesson.

  • You will be prompted with a warning: “Delete mission. Are you sure you want to delete this mission”. Click “Yes” to accept or “No” to cancel.


Ground (9:07)


To delete a ground lesson:


  • Go to the Ground tab.

  • Select a ground lesson and click on the ”delete” button, the trash can icon next to the lesson.

  • You will be prompted with a warning: “Delete theory. Are you sure you want to delete this theory”. Click “Yes” to accept or “No” to cancel.


Students (9:23)


To delete a student from a course:


  • Go to the Students tab.

  • Click on the “Add” button, the plus icon on the right.

  • Click on the photo of the student you want to delete from the course and click on the “X” that appears on the top of the selected photo.

  • To finish, just close the window, the changes will be automatically saved.


Phases (9:42)


To delete a phase of the CBT course:


  • Go to the Phases tab.

  • Choose the phase you want to edit and click on the 3 dots to the right.

  • Click on “Delete”.

  • You will be prompted with a warning: “Delete phase. Are you sure you want to delete this phase?” Click “Yes” to delete or “No” to cancel.


Competencies (9:59)


To delete a competency of the CBT course:


  • Go to the Competencies tab.

  • Select the competency you want to edit and click on the 3 dots to the right.

  • Click on “Delete”.

  • You will be prompted with a warning: “Delete competency. Are you sure you want to delete this competency?”. Click “Yes” to delete or “No” to cancel.
