How to Add/Edit/Delete a User

In this tutorial, you will learn how to add, edit, and delete a user.


As the admin of the account, creating the users is one of the first things you need to do when configuring Private-Radar in your organization, but before you do that, you need to define the Roles and Privileges.


CREATE A ROLE: (0:21)


Roles are a set of privileges that allow you to control the access you give to other users registered in the system. If a user does not have a role assigned, they will not be able to log in.


To create a role:


1. First, log in to your account.


2. Go to the Users Module.


3. Click on the “Roles and Privileges” icon.


4. Now click on the “+ Add” button left-hand side of the window.

Add the name of the new role, such as “Student”, “Instructor”, “SMS Manager”, and so on. You can also create more detailed roles, for example, for students per course type or for instructors per lesson type (flight or theoretical).


5. You can create a role by selecting the option “Create a blank role”. You can copy a role by selecting the option “Copy this role”. Alternatively, you can select one of the templates by selecting the option “Use a built-in role”.


6. With this option, you can choose from one of the built-in roles, such as Administrator, Flight Instructor, or Head of Training, with a set of pre-defined privileges.


7. When you finish, click “Save”.


8. Now, go through the different tabs for each Module and define precisely the privileges each role should have. The options are extensive so you can completely customize the system to your operations.

Now that you have created your roles, you can start adding the users by following the next steps:


1. Go to the Users Module.


2. Click on the add sign to add a new user.


3. This will open a window where you can set up the user's account.


4. Choose if they are active or inactive. Inactive users will not be eligible to be scheduled for a flight or ground lesson, and will not be able to log in to Private-Radar.


5. Select the type of user, whether they are “Pilot / Instructor”, “Company”, or “Other”. The type you choose will allow the user to perform different actions. For example, a user selected as “Company” can be an option when selecting a payer/subsidiary of a student’s subsidy. An instructor or student has to be registered as a “Pilot” to be able to appear in the crew options of a booking. Any other administrative roles can be registered as “Other”.


6. If you choose the type “Pilot / Instructor”, you can then choose to give them an “In-flight”, “Grounded”, or “Standby” status. The “In-flight” option will allow them to be scheduled in a flight and classroom booking. The “Grounded” and “Standby” status will only allow them to participate in ground lessons. You can use the different statuses to help you filter your users.


7. Next, you can upload a profile picture.


8. Below you can add the user information. The most important information needed is the name and email address. Without an email address, the user will not be able to access Private-Radar. You can also add a code, that can be the initials of the name or any other shortened name to identify the user. This will come in handy in the future, for example:

  • To have an easier view of the crew in a booking in the Schedule Module.

  • To easily identify and add a crew member when creating a flight in the Flights Module.

  • To identify the students’ course progress in the Course Module, under the Students tab.

1. For instructors, you can select which type of instructor qualifications the user has, such as "Flight instructor", "MCC instructor", "Ground instructor", "Flight examiner", or "AOC". You can choose one or more options. This configuration is important because it will define the instructors that will appear in the crew options of a booking, for example, if you don’t mark an instructor as “Flight examiner”, he will not appear as an option as an instructor for an Exam type of flight booking.


2. You can also add their address and emergency contact information.


3. If you want to add a note, you have some free space to do so.


4. The most important step is to select a Role. Choose one of your previously created roles from the drop-down list.


IMPORTANT: Roles allow you to control the access of your users. Without a Role, users are not allowed to log in. When the Role has been selected, they will receive an email with their password. To create roles, click on the Roles and Privileges icon from the main User page.


1. Now we are almost done. You can also choose the main base and temporary base for a period of time.


2. This is also where you can enable auto-invoicing for a user by checking the box.


IMPORTANT: Auto-invoicing allows the application to generate invoices based on the flights and the rate set on each aircraft. The crew of each flight has to be set, and the rates for each aircraft have to be defined.


1. Finally, you can select a payer for this user. Flights will be invoiced on the payer’s account.


2. When you are done don't forget to save.


REMEMBER: If the user doesn't have an email address and a profile, they will not be able to access Private-Radar.

To edit a user:


1. Go to the Users Module.


2. Select your user.


3. And click on the “Edit” icon on the top right-hand corner of the page. This will open the user information window.


4. Here you can edit or add information, change the photo, change the role, etc.


5. Don't forget to save when you are done.


DELETE: (5:56)


To delete a user:


1. Go to the Users Module.


2. Select your user.


3. Click on the “Delete” icon on the top right-hand corner of the page.


4. You will be prompted with a message: “Attention! You are going to delete a user. This operation can’t be undone and you will lose all data associated with this user. Are you sure?”. 5. Click “Yes” to accept or “No” to cancel.
