How to Configure the Profile Rights for the Users Module

In this tutorial, I will show you how to set up the Profile Rights for the Users Module.


All of the profile rights to the Users Module correspond to the tabs and different functionalities available in the module.


1. First, log in to your account.


2. Go to the Users Module.


3.  Click on the profiles icon on the top right-hand corner of the page.


4. Select a profile from the drop-down menu.


5. Select Users from the menu on the left.


You can limit the view by Bases.


USERS LIST:


  • Check off the box view users and below you can define if you want this profile to 'View self', 'View all users', or 'View specific groups of users'.

  • Let me give you an example, I would allow the profile students to view users but limit them to "View self" only. This will give them access to the ME page and the tabs and functions that you define. Most of the time, students will have a very limited access other than just view. As opposed to an administrator or Head of Training, for example, that I would allow to view all users and be able to add and edit many areas.


GROUPS:


  • If you want a profile to be able to edit groups, check the box.


INFORMATION


  • If you want a profile to view user information, check the box. Following you can choose from 'View email', 'View phone', 'View birthdate', 'View note'. Remember, if you select view only self, they will only be able to see their personal information.

  • The next option is very important as it deals with sensitive information and should be reserved for the top administration only. You can allow a profile to be able to change the password of all users.


AGENDA:


  • If you want to allow a profile to view Agenda, check the box. This will display the users individual schedule/agenda in the agenda tab.


CERTIFICATES:


  • Next, you can allow a profile to view, add, edit, delete and manage certificates.


COURSES


  • The courses tab will show the course progress of the user or users.

  • You can allow a profile to view the courses tab. If they can only view themselves, such as would be the case for a student as we previously saw, you can check this box and the profile will only be able to view their own progress.

  • For more administrative tasks you can allow a profile to print the hours certificate, validate lessons, edit course adjustment and edit course status.


SIGNATURE:


  • For the Signature tab, you can allow a profile to view the Signature tab . You can allow them to sign all the documents at once ('Allow to sign all') and upload their own signature. For administrative purposes you could allow a profile to upload signatures of other users.

  • The signature tab is designed to let students and instructors sign flight session sheets electronically.


LOGBOOK:


  • Continuing to the Logbook tab. Check the box if you want to allow the profile t view the logbook. The logbook is automatically updated.


ACCOUNT:


  • Next brings us to the Account tab. Here you can allow a profile to view the account. In general, the user account will show debit, credits, and balance.

  • You could allow a student for example to view their own account but not allow them to perform any other functions. For administrators you could allow them to do any of the following functions:

  • Add invoice

  • Edit invoice

  • Delete invoice

  • Add Subsidy

  • Delete subsidy

  • Add payment

  • Make credit-card payment

  • Edit payment

  • Delete payment

  • Edit settings

  • Balance transfer

  • Send by email

  • View invoices


FLIGHT TIME:


  • You can allow a profile to view the flight and duty time by checking off the box "View flight time". Flight and duty time is automatically updated.


VIEW DOCUMENTS:


  • You can allow a profile to view documents in the Users Module. In addition, you can allow them to add and delete documents. These are documents related to a user. They can include flight documents that are added when you add or edit a flight and other documents that can be uploaded from this tab directly.


SOLO:


  • You can allow a profile to view soloing and edit soloing. This will control the parameters that define if this user will only be allowed to reserve solo flights on certain aircraft types, provided that he respects the flying standards defined in Settings. If nothing is selected, the user will be able to reserve a solo flight on ALL the aircraft.


AVAILABILITY:


  • Next, you can allow a profile to view availability, as well as add, edit, and delete.


EMAILS:


  • You can allow a profile to view emails. Emails are a record of all the emails that have been sent to the user.


RATES:


  • You can allow a profile to View rates, as well as add, edit, and delete rates. This tab is applicable to instructors only.


CURRENCY:


  • You can allow a profile to view currency. Flight currency is automatically updated.

  • Here you will see a summary of the minimum number of landings required in the past number of months to be able to perform a solo flight and the minimum number of landings in the past number of months to be able to perform a flight with passengers.


TSA:


  • Next, you can allow a user to view and edit TSA. This tab is used in the US to keep track of valid TSA approvals (The Transportation Security Administration (TSA) is an agency of the U.S. Department of Homeland Security that has authority over travel security).


AIRCRAFT TRACKING SYSTEM:


  • Now, if you are subscribed to the Aircraft Tracking System, this is where you can authorize a profile to view the live map (live.private-radar.com).


ADD/EDIT/DELETE:


  • The next section allows a profile to add, edit, mass edit, and delete users. These permissions would be reserved for administrators.


PROFILES:


  • Lastly, here is where you can allow a profile to edit profiles, as we are doing now. Again, this should be reserved for administrators only.


Set up your profile configuration for the Users Module according to the access you want to grant to each profile.
