How to Configure the Profile Rights for the Schedule Module

Profiles allow you to control users' level of access.


You can clearly define what each profile can do within the Schedule Module.


Any user who has been given the right to edit profiles will be able to set up and edit profiles. To learn more, please watch the video, Intro to Profiles.


ADMIN'S VIEW:


1. First, log in to your account.


2. Go to the Users module.


3. Click on the Profiles icon on the top right-hand corner.


4. Choose a profile from the drop-down menu. I am going to select Student. Remember, you can create several different student profiles if needed.


5. Now select Schedule from the menu on the left-hand side.


6. Select the criteria.


For example, if you want anyone who is assigned the Student profile to View the schedule, check the box. We will limit this view by selecting only certain criteria but in this case, I want my students to view the schedule module so I am going to check off the box 'View Schedule'.


I am not going to allow the students to view the private schedule because these are bookings that I want to keep hidden until they are published. Please watch the video, Public/Private Bookings to learn more.


I am going to allow the students to view all bases but if I wanted to limit that I could do that here.


I am going to allow my students to view the aircraft schedule but I am not going to allow them to view all bookings. I want them to be able to view only their own bookings. This way any other users' bookings will be marked as reserved and blocked out in gray but won't display any more details. Please watch the video, How to Request and Approve Bookings to learn more.


Now, as my flight school does the scheduling I am not going to allow my students to add and edit bookings. In the case that you want to allow students to book themselves, for example, for hours building and rental, you can let students reserve their own bookings by checking off the box 'Add and edit bookings'. Select the type of bookings you want to allow them to add and edit.


Next, I do not want my students to Select a lesson, delete bookings, or import a schedule so I will skip this and leave it unchecked.


The student access to the schedule will be quite limited. I do not want them to view the instructor schedule. I will let them only view the class schedule.


For the moment that is all I am going to allow the student profile to access in the Schedule module. 


So I will skip dispatch, students, schedule constraints, classrooms, and footprints. These options could be accessible for an administrative-level profile.


STUDENT'S VIEW:


Now let's save and see how this looks from a student's perspective.


I am going to sign in to Chloe Sines's account who has a student profile. Now when I go to the Schedule module I only see my booking with the details. The other bookings are showing as reserved in gray.


This is an example of the limited view a user with the student profile will have according to my profile settings for the schedule.


Now, if I want to request a booking as a student, I can click on the aircraft I want to book, select the time, select solo flight, VFR, local, and save.


Now, on the schedule, the booking is outlined in red because it has not been confirmed yet by my school.


Now, I will sign in as the school. Go to the schedule module. Here I see Chloe Sines booking outlined in red. When I click on it I have the option to approve the booking. Just click on the check mark in the small circle. Now the booking has been approved.


INSTRUCTOR'S VIEW:


I will give you an example of how you can configure the profile settings for Instructors.


1. Go to the Users module, signed-in as the administrator.


2. Click on profiles in the top right-hand corner of the page.


3. Select the instructor profile from the drop-down menu.


4. Click on Schedule from the menu on the left-hand side.


5. Here I will check off View Schedule. At the moment I don't want to give my instructors any more rights so I will save.


Let's have a look at the schedule module as the admin again. I see all the bookings and I have access to the full range of capabilities.


Now let's sign in as Frank Cross, our instructor. Go to the schedule module. Now I can only see my bookings on the schedule.


ADMINISTRATOR OR OPS MANAGER' S VIEW:


An administrator or ops manager would be given much more access to the schedule module. This would allow them to perform all tasks.


1. Go to the Users module, signed-in as the administrator.


2. Click on the profiles icon on the top right-hand corner of the page.


3. Select the administrator profile from the drop-down menu.


4. Click on Schedule from the menu on the left-hand side.


5. Here I am going to check off everything for viewing, adding, editing, and deleting. It is up to you what you want to limit depending on the administrative role. For, example, if I don't want the administrator profile to override schedule constraints I will leave that box unchecked.


Now, I have almost full access to the schedule.
